The legalization of documents in Canada is the process that confirms the Canadian documents are legal to be used in foreign countries. Make sure whether you need to authenticate and legalize your documents, you should ask the recipient abroad. In most of the circumstances Canadian documents that will will likely need to be authenticated and legalized if they are used in foreign country. The reason for the process is to verify the signatures on your documents. By having the documents authenticated and legalized, the recipient abroad can rest assured that your documents have been properly processed.

Document legalization is the last step of the authentication and legalization, or apostille, process. Document legalization involves having your document stamped and signed by a consular officer at the appropriate Embassy or Consulate of the destination country in Canada.

The processing times for authentication and legalization varies on different factors like holidays, the embassy and consulate working hours. Each embassy or consulate has its own processing time, subject to consular availability. Some will also offer rush services for an additional fee.

If you decide to handle the process yourself by mail, the process will take some time. Global Affairs Canada takes a minimum of 15 business days to authenticate documents submitted by mail. Following the authentication, typical processing times at most embassies and consulates range from 2 to 5 business days.

Facts to know

No, document authentication and legalization is exactly the same like Apostille. To be clear, the Apostille Treaty or The Hague Apostille Convention is an international treaty on Private International Law. It specifies the process through which a document issued in one of the signatory countries can be certified for legal purposes in all the other signatory countries. Such a certification is called an Apostille. It is an international certification comparable to a notarization in domestic law, and normally supplements a local notarization of the document. What does that mean for you? It means that a document with an Apostille stamp will be legal for use in every other country that has signed the Apostille Treaty.

We take care of all works from the beginning to the end about Authentication and Legalization. When we prepare your detailed quote, we will include the Consular Fees. No. You are not required to be physically present in Canada to authenticate and legalize your documents. All you need to do is to ship your documents with courier (FedEx, DHL, UPS) to our office in Toronto and we will take care of everything upon receiving your documents.
Since Canada has not signed the Hague Apostille Convention it uses the original process to validate documents for international use called authentication and legalization.
